How to Generate Meet Times Using the Top Times Report

Admin Level - Email/Print/Calendar

To generate a Top Times Report, follow these steps or watch the video tutorial below.

  1. From the left navigation menu, click Events & Competition > Time Reports.

  2. Click either Top Times By Events or Top Times By Athletes.

Below we describe several settings in each section. Those left out are self-explanatory.

  1. Meet Filter

    • Meet Name - Select a single meet if you only want to generate results for that meet.

    • Course - In addition to single course types, you can combine SCM/SCY, LCM/SCM, or LCM/SCY into one report. Selecting L&S -> L will pull up all the top LCM and SCM times, with the SCM times converted to LCM.

      Note: When combining course types, the system will not convert some events. For example, selecting L&S -> L will show a 25 SCM backstroke time as the same LCM time. That's because no one swims a 25-meter backstroke in an LCM pool.

    • Meet Type - If you have designated individual meet results as a specific meet type, such as official USA Swimming times, you can select only those included in the report. For example, you may want to look at only results for both level 1, and 2 meets when preparing to enter a National event in the UK. Click select, check the boxes of the meet types you want to include, then click Select.

    • In this period - Leave blank if you want to include ALL results; otherwise, enter a beginning or ending date period.

  2. Member Filter

    • Match ID# Only - When left unchecked, the system will include only results under your team. When checked, results that match any of your athlete's IDs, including unattached and those with other team's club codes, will be included.

    • Status - Choose --ALL--, and this will include all athletes regardless of status (Active, Waiting for Approval, Suspended, and Canceled/Hidden).

  3. Meet Event Filter

    • Event - Only Individual OR Relay results can appear in a single report.

    • Age Group* - You can only select Age Group events (and optionally enter an age range) or Open events to appear in the report.

  4. Display Options

    • Show Top __ Entries - Defaults to 1 for a single top time. Enter 2 for the top two, or blank for all.

      • Tip: To see all results and splits for a meet, set this field to blank, set Include Splits to Cumulative or Subtractive, uncheck Show At Most One Athlete per Event, and choose a Meet Name.

    • Show At Most One Athlete per Event* - Leave checked to prevent a talented athlete from dominating the results listing when you have set Show Top __ Entries to more than 1.

    • Output Format** (not shown) - Defaults to HTML: On-Screen; you can also generate a PDF report of all athletes, either grouped or one per page.

    • Include Splits - Select either Cumulative (Running) or Subtractive (Lap) to see these included in the results.

    • Standard - Apply a standard to the athletes by selecting one in the dropdown.

    • Show ONLY Matches or Exceeds - When you select a standard, you can choose an A Cut, for example, to show only results that match or exceed that designator.

  5. Sorting*

* Top Times by Event only
** Top Times by Athlete only

Once you make your selections, click Report Now!, producing the report and giving you exporting options.

  1. Save as HTML/Save as XLS -Saves the results as an HTML file or XLS spreadsheet.

  2. Snapshot & Overwrite a [User_Defined] Tab - FIRST click the --SELECT ONE TAB-- dropdown to select a tab on which to publish the report. You will only see top-level tabs. Once you select the tab, click Snapshot & Overwrite a [User_Defined] Tab, and the report in view will replace the contents of the tab you selected.

  3. SnapShot & Overwrite a Record - If your Team Records tab is visible and you've created at least one record (for instance, SCY), it will show in this dropdown if it relates to the output. FIRST, select the record, then click Snapshot & Overwrite a Record, and it will publish the results shown to that record. IMPORTANT: This will COMPLETELY ERASE ALL EXISTING TIMES for the record your select, INCLUDING HAND-ENTERED TIMES. A best practice is to put individual best times in meet results so that this report pulls them from there.

  4. Here is an example of a standard (note the 2nd and 3rd times meet the standard) and cumulative splits.
