Double-check Class Settings! Before building out a class classes double-check that Class Settings are filled out appropriately. To do this, go from Classes > Class Admin > Settings.
Pro Tip: A great way to sort classes and help parents find what they're looking for is to create Programs and Sub-Programs. Including the words "Birthday Party" in the Program or Sub-Program also helps to direct new memberships!
Example:
Program: Birthday Parties
Sub-Program: December Birthday Parties
Class Title: BDP: December 1st-7th
1. To set up your Birthday Parties:
In the left navigation menu click Classes > Class Admin > Classes.
From the classes page, in the top right-hand corner click the green +New Class button.
2. Click the General tab to fill out basic information for your New Class.
In the Add Class window, fill out the required information.
The class title should include "Birthday Party" and the week-long date range of the party (ex. BDP: December 1st- December 7th).
Options in the drop-downs need to have been previously created within the Class Admin Settings tab before you can select them.
Scroll down to select the agreements required for a party.
When finished, click Save & Continue to move on to the next step.
3. Click the Class Date/Time tab.
Fill out all of the required fields with the date and time information for the Birthday Party.
Note: Enter information carefully to be sure that the settings are correct.
When finished, click Save & Continue.
Pro Tip: It's recommended that classes for Birthday Party registration run for a single week at a time
4. Click the Reg Slot & Instructors tab.
Add a New Reg Slot for each day and time a Birthday Party is offered.
Set the Slot Limit to 1.
Fill out the days and times the facilities are available for a birthday party during the week.
Each party option is a New Reg Slot line.
When finished, click Save & Continue to move on.
Pro Tip: Make sure Class Registration Notifications are enabled so that you or your instructors are ready for new registrants who have signed up for a birthday party
5. Click the Class Payment Plans tab:
It is recommended to create a Class Payment Plan for birthday parties instead of offering a Discount.
Click the green +New Payment Plan and name the plan accordingly. (Ex. Birthday Party: 2-Hour Package)
Choose the green +Payment Plan Item.
Fill out the "Charge Name", and choose whether the charge should recur or not.
If recurring, fill out the Charge Amount per athlete, the charge category, when the first charge should be, when each installment is due, and if the charge should be prorated or not.
If non-recurring, fill out the charge category, the charge amount, when the charge is created, and when the payment is due.
When finished, click Save Changes.
Pro Tip: Have multiple payment plans available for users to select which birthday party package works best for them.
Cloning your parties:
To save time, we recommend you clone your birthday party classes instead of creating new ones each week.
From the class list, find the class you wish to copy, and on the left-hand side click the gear icon.
Click the Save Change to a New Class (Clone) button.
Click OK to proceed.
Find the class that has been cloned, on the left-hand side click the gear icon.
Remove the "Clone" verbiage from the title and navigate through the tabs again to make any desired updates or changes.
When finished, click Save & Close.
